DESCRIPTION:
The Administrative Assistant works as an office manager maintaining day-to-day operation of the Sales Services department reporting directly to the VP of Sales Services.
Provides phone coverage for VP
Provides timely and accurate correspondence
Submits time sheets for 32 employees for payroll through Workforce
Reconciles department credit card bill with supply orders and packing receipts for payment to Bank of American
Orders all necessary supplies, forms and equipment for all department employees through Oracle. Monitors supply levels to ensure adequate supplies
Schedules appointments and meetings for conference room
Assists in quarterly preparation of Sales digital commissions booklet
Orders and facilitates maintenance issues for the department through Black Rock Facilities
Aid in corporate phone set up and pc/printer issues through Stagehand
Troubleshooting any issues raised by staff that can be resolved by the Assistant
Works on special projects at the direction of the VP

QUALIFICATIONS:
Bachelor’s Degree preferred
1-2 years of media experience preferred
Must have strong PC skills and excellent communication skills
Must be extremely organized and able to multitask
Position requires good organizational skills, good communication skills, basic math skills, and attention to details
Desire to learn about syndication, sales planning, and research is required
Relevant administrative experience within the entertainment industry will definitely be considered
Proficiency with Microsoft Outlook, Word, and Excel is required
