DESCRIPTION:
Job Description: Primarily responsible for performance and support of business office functions as well as general administrative duties; to include receptionist/front desk management. Needs be a multi-tasker with broad business experience, excellent communication, customer service, computer, and organizational skills.
Responsibilities:
Business/Credit/Collections Support:
Check credit references on all new clients
Respond to external requests for credit references
Monitor cash-in-advance accounts to ensure payment
Monitor cash and credit card payments, validate all payment posting
Process weekly and monthly billing
Balance and reconcile revenue daily and monthly
Assist local Account Executives with the collection of delinquent accounts. make collection calls to clients and provide additional invoice copies or other documentation as requested
Assist clients with credit portal set-up
Process approved credit and debit adjustments
Prepare aging/status reports for management and sales staff as the need arises
Business/Administrative Support:
Distribution and coding of incoming invoices for approval by the appropriate department manager
Ensure timely delivery of invoices to GBS for entry
Answer incoming and internal telephone calls and transfer to accurate department
Greet guests and clients of station
Distribute prizes verifying ID and accurate completion of tax forms
Process all station shipping and mailing
Generate/mail EEO letters for new job postings
Order and Maintain Office Supplies
Generate PO’s for film and administrative agreements
Notary
Various other duties as assigned
QUALIFICATIONS:
Preferred Skills/Experience: 3-5 years successful Accounts Payable/Receivable/Office Administration experience. Excellent communication and organization skills. Highly computer literate, to include MS Office/Word/Excel. Experience with Oracle and Wide Orbit is a plus.
Preferred Education Level: Associate Degree or Equivalent Experience
