Overview and Responsibilities
The Executive Assistant will support various internal assignments for ViacomCBS, working closely with the brands, marketing, communications, research, product and sales teams. ViacomCBS Marketing’s primary stakeholders include: Ad Sales, US Networks Distribution, Talent Acquisition, and Investor Relations
This position will support 3 senior level executives.
Responsibilities
Maintain accurate appointment calendars, contacts and meeting-specific distribution lists via Outlook
Coordinate internal and external meetings, appointments, offsites, presentations, luncheons and/or dinners
Provide support by assisting in creation and maintenance of collateral, sales decks, and swag
Prepare reports/recaps of Marketing Strategy initiatives
Answering phones
Coordinating and maintaining daily work schedule
Screening and prioritizing mail
Coordinate and book all business travel, seminars, retreats, conventions and luncheons
Prepare, submit and file T&E reports
Gathering and distributing materials, documents, timelines, status sheets, and information as needed and directed including design and updating of departmental documents, charts and forms via Word & Excel
Code and process invoices as needed
Liaison to other departments/assistants on all relevant needs and issues as determined.
Work efficiently & effectively with ViacomCBS’ support departments, i.e. travel management, facilities, technology help desk, accounts payable, etc. to fulfill job responsibilities, building bridges and key relationships as needed
Assist with recurring planning of ViacomCBS Marketing Council meetings
Basic Qualifications
Bachelor's degree from a four-year college or university in Marketing, Advertising, Communications or related field preferred or equivalent experience
Minimum 1-3 years’ experience in marketing, advertising, and/or brand strategy at an organization, agency or brand
Experience working with senior level marketing and/or c-suite executives
Additional Qualifications
Has an understanding of how a marketing functions interacts within a wider organization
Have experience coordinating with outside marketing and / or brand agencies
Strong PowerPoint skills
Fan of ViacomCBS brands!
Interest in marketing, strategy, and media/entertainment
Ability to project-manage from start to finish (and manage up, when necessary)
Excellent written and verbal communication
Flexibility, initiative, appetite for dynamic environment
Strong interpersonal, relationship-development skills
Effective problem-solver with “can-do” attitude
Excellent attention to detail
Well-organized with a strong ability to prioritize and a master at multi-tasking
Proven ability to act autonomously in day to day activities
Flexible availability out of office hours to handle priorities
Highly self-motivated, ambitious and willing to go above and beyond
